  • Automated Data Handling: Develop a system that automatically populates a spreadsheet/database with client intake information, including emails and calls related to prospects.

  • Enhanced Client Communication: Implement tools for sending customized messages to clients based on generated reports and templates.

  • Integration with Google Workspace: Utilize Google Workspace services such as Gmail, Google Sheets, and Google Drive, augmented with Google Apps Script for automation and data management.

Step-by-Step Instructions with Room for Innovation

    • Start by getting system where emails will automatically go to our prebuilt client tracker spreadsheet

    • Structure the sheet to include fields for contact names, email addresses, conversation summaries or links, and dates.

    • Develop a mechanism to forward or send emails to a designated address (e.g., leads@oaklg.com or intakedatabase@oaklg.com) for AI analysis and subsequent entry into the Google Sheet/database.

    • Utilize Google Apps Script to fetch these emails and extract relevant information, considering AI assistance for more advanced parsing and data extraction.

    • Write a script in Google Apps Script to automatically update the Google Sheet with information from emails.

    • Set up time-driven triggers to run the email parsing and logging script at regular intervals, like nightly.

    • Implement a system to save copies of email conversations in Google Drive for detailed record-keeping, potentially summarizing these for quick reference in the tracker.

    • Create a search function in Google Apps Script to find specific conversations in the Google Sheet or Google Drive.

    • Consider building a custom interface within the Google Sheet or as a standalone web app for easier access and management.

    • This interface could be named something like "Innovative Immigration Client Intake Tool" and should allow users to view, search, and manage client interactions efficiently.
